Who we are
Daisy Chain Playgroup is an English-speaking playgroup in the Church Hall of the Anglican Church of St John and St Philip, Riouwstraat 2c, 2585 HA Den Haag. We are registered with the Dutch Chamber of Commerce (KvK) under number 40413707. We are responsible for the personal data we hold about you and your child. If you have any questions, email admindaisychain@gmail.com or phone +31 6 41 93 64 07.
What we collect
• From the application form: your child’s name, date of birth, sex, BSN, nationality, home language(s) and address; each parent’s name, date of birth, BSN, phone number and email address; an alternative contact adult; vaccination status, medical needs and allergies; the sessions you would like; and how you heard about us.
• Once your child has a place: a medical form and notes on your child’s development made by our staff, which we use for progress reports.
• From the contact form on our website: your name, email address, phone number (if you give it) and your message.
Why we collect it
To handle your application and our waiting list, to keep your child safe (medical and allergy information and emergency contacts), to send invoices, to write progress reports, and to meet our legal duties as a registered childcare provider. We ask for the BSN of your child and of both parents because the Dutch tax authority (Belastingdienst) requires it in connection with childcare (kinderopvang).
Who sees it
Only the members of our staff who need it. We receive forms by Gmail, and our website and contact form run on Wix; these companies process data on our behalf. We share data with authorities only when the law requires it. If your child’s next school asks us for a report, we send it only after checking with you first. We never sell your data. We only use photos of children on our website or Facebook page with your consent.
How we keep it safe
We store personal data digitally and encrypted, or in a locked cabinet at the playgroup. Nobody outside the playgroup has access, except authorities that have a legal right to see it.
How long we keep it
We keep personal data only as long as we need it. Application details of children who do not take up a place are deleted within 1 year. Your child’s file, including development notes and reports, is deleted 2 years after your child leaves. Invoices and payment records are kept for 7 years, in line with the Dutch tax retention requirement. Messages sent through our contact form are deleted within 1 year. Photos are removed if you withdraw your consent.
Your rights
You have the right to see the data we hold about you and your child, to have it corrected or deleted, to limit or object to how we use it, to receive a copy, and to withdraw your consent at any time. Email admindaisychain@gmail.com and we will reply within one month.
How to complain
If you are unhappy with how we handle your data, please talk to us first. You also have the right to complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (www.autoriteitpersoonsgegevens.nl).
